You want to book a supplier from the Uk to travel to a different country for your destination wedding
There are so many reasons that you may wish to book a supplier from a different country to where you are having your wedding ceremony. This could be because you have seen that supplier at another event and you feel that they are a natural fit for what you want to do. It could be that the supplier has the expertise that you want. That could be the religious, spiritual, knowledge of genres of music. It could be that you are a multicultural couple and want someone who understands that and will be able to explain everything to you and your guests in different languages.
Both my husband and I do get a number of enquiries for destination weddings and this made me realise that there needs to be some advice and understanding of what to think about before considering booking a supplier to travel to a destination wedding ceremony.
Destination Wedding Things to Consider
- There needs to be a check on the entry requirements, passports, visas and hopefully not, but any covid vaccination requirements. This link can be very useful https://www.gov.uk/foreign-travel-advice/entry-requirements
- The cost for the supplier to travel to the airport in their country. This can sometimes be a standard cab but if booking musicians a larger vehicle will be required.
- Consider the options for the date and time of flights from London airports to the country where the wedding is taking place. This should be at least one day before the first event
- If musicians are being booked, do consider the flight choice as they will need to ensure that some instruments like a guitar can be taken on board, whilst the others go in the hold), so baggage allowance needs to be considered.
- Once the supplier lands in the country where the wedding is taking place they will need to be picked up and taken to the hotel where they are staying.
- Do think about the number of rooms that will be required in the hotel.
- For the days they are in the country where the ceremony is taking place food and soft drinks should be provided taking into account any dietary needs.
- You will need to arrange travel from the hotel to the ceremony venue to see the place of the ceremony and back to the hotel. This could be a small vehicle or larger if musicians are booked as well.
- You will need to arrange travel from the hotel to the ceremony venue at least a minimum of 3 hours before guests arrive.
- During the ceremony, make sure the suppliers have soft drinks and food.
- After the ceremony has finished, arrange travel back to the hotel.
- When all is finished, travel from the hotel back to the airport.
- Do consider the options for the date and time of flights back to London.
- There will be the cost of the taxi back to their home.
- For the days there are travel and down days, consider the daily allowance fee. This covers any food and drink requirements while travelling, at the airport and sometimes on the plane. This can range from £30-£50 per person, depending on the number of travel hours.
- You will need to arrange a PA System for each event. The supplier will provide the tech spec for you to share with the tech team you have booked.
- The supplier should give you a cost breakdown for the ceremony day as well as the cost for any travel and down days. Remember these are days that the supplier cannot take any other bookings.

- Independent Celebrant, sound engineer, plus musician/s for the ceremony plus musicians for the canapes. This can be the same musicians as you have for the ceremony but there is an extra charge.
- Independent Celebrant, sound engineer, plus musician/s for the ceremony plus canapés plus reception – depends how big a band you want for the reception
- Independent Celebrant, sound engineer plus musician/s for the ceremony plus canapés, plus reception and Toastmaster for the reception
- You can also have a band for the pre wedding events including a garba/mehndi night and sangeet
- The band is D26music and they cover everything from Bollywood, English, Swahili, Punjabi and many other genres of music.
